Terms and Conditions of Services Provided by Hypnotherapy-Essex Ltd

This document provides written agreement and formal consent between the client (you) and Hypnotherapy-Essex Ltd for the commencement of therapeutic sessions conducted by Jane Williams, Certified Hypnotherapist.

Commencement of therapy in the form of paid sessions means that this service agreement has been read, and fully accepted by you, the client.

Confidentiality Agreement: Therapeutic sessions undertaken at Hypnotherapy-Essex Ltd are always treated with the utmost respect, discretion, and strictest confidentiality. We would strongly advise refraining from discussing session content with any third party until therapy reaches final completion. Failure to do this may reduce the effectiveness and progress of your therapy. We understand that friends or family members may wish to know ‘how things are progressing’. The therapeutic process and therapy sessions are personal to you and have absolutely no bearing on anyone else’s thoughts, feelings or wishes. If after therapy has reached final completion you would like to discuss it with a third party, it will be completely at your discretion, although there may be good reason for content to be kept completely confidential and we will be happy to discuss that in more detail should the need arise.

Hypnotherapy-Essex Ltd runs a paperless system. Confidential notes and personal files are password protected and used to assist with the personal on-going therapeutic sessions of the client only. These will be held for a minimum of 7 years in a secure file when not in use and will not be shared without informed written consent of the client.

Any notes taken during sessions will be shredded and disposed of appropriately and will not contain any personal details, such as names, addresses or contact details, linked to the client.

Your GP (doctor), family member, spouse, employer or place of study will not be notified or consulted regarding any part of your hypnotherapy sessions and the sessions will not be noted on your medical records without your prior informed and written consent.

There are a few confidentiality exceptions for legal or safety reasons including but not limited to concerns that you are about to cause serious harm to yourself, others or children.

For your safety in some cases, in order to give you the best possible therapy and to further enhance the effectiveness of sessions, an Opt Out letter may be sent, with your permission and informed consent, to your general practitioner or other professional health care specialist.

Payment: Please pay by cash, cheque or card on the day of the session, or by direct bank transfer or PayPal in advance of session commencement.

Sessions: Therapeutic appointments last approximately 60 minutes unless stated otherwise.

The first session may often be a little longer than subsequent sessions, again this may vary.

Additional contact and ongoing therapeutic support between sessions is included in the session price.

Time between appointments may vary, however, a set of pre-booked appointments should be taken within 8 weeks from start to finish, unless agreed in advance, and are usually conducted weekly or fortnightly. This will be discussed with you at the time of booking.

Cancellations*: In the event of an emergency, Hypnotherapy-Essex Ltd aims to give you, the client, as much notice as possible should we need to alter the timing of your session or to cancel.

Once a session is booked, we reserve the right to charge in full for any cancellations with less than 24 hours’ notice, unless you exercise your cancellation rights as explained below.

You have the right to cancel any booking by prior notice in writing within 7 days from the day after the booking is made. Written notification will be accepted by email, text, or Facebook message as long as we acknowledge receipt. Unless we agree otherwise, you will not be able to cancel a booking once the sessions and subsequent services have begun.

You agree that performance of the sessions and subsequent services begins when you provide any information to us that is used in preparation of our sessions and subsequent services.

Lateness*: If you arrive late for your session we will still finish at the time scheduled and you will be charged the full session fee.

Holidays: If you are undertaking a longer course of pre-booked sessions, please let us know if you have any holidays planned before the commencement and agreement of sessions and subsequent services.

Recording: Audio sessions and subsequent services will not be recorded at any time. We do not use sound as a recording method.

Safety and Security: All reasonable steps will be taken to ensure the client’s (your) safety and that of the therapist, both physically and psychologically, including the recording of sessions using CCTV. Notice is clearly displayed and a screen is present in the therapy room. The CCTV works on a motion sensor and no sound is recorded at any time. These recordings will be kept indefinitely and stored securely.

Alcohol and Non-prescribed medication: It is the therapists right to refuse to see anyone under the influence of alcohol or non-prescribed drugs. Sessions will still be charged at the normal rate and will be required to be paid in full on the day.

Parking: Free on street parking is available nearby.

Refreshments and Toilet Facilities: Refreshments are available on site, but please be aware that Hypnotherapy-Essex Ltd is unable to provide toilet facilities at its 23 High Street, Burnham-on-Crouch location. Public conveniences are available nearby, and the Star Inn has no objection to the use of their toilet facilities.

Guarantee: Hypnotherapy-Essex Ltd guarantee you will receive 100% commitment from your certified hypnotherapist, Jane Williams, in helping you to facilitate the best outcome for you, the client, in sessions and subsequent services. However, as outcomes vary, success cannot be 100% guaranteed. Often it is the case that the client (you) is the only one who can fully guarantee your success. Hypnotherapy-Essex Ltd will not take credit for perceived success, and will never claim to offer anything other than support in the form of pre-booked sessions in the facilitation of outcomes and results requested by you, the client.

Appointments: Hypnotherapy-Essex Ltd, 23 High Street, Burnham-on-Crouch does not have a waiting room, so please try to arrive for your scheduled appointment on time. If you are a little early, please wait until your allocated time before knocking. As you can appreciate, this ensures that other clients leave the building prior to your arrival, securing privacy and confidentiality for all parties.

Contacting your therapist: It is not always possible to respond immediately to calls, however your wellbeing is important to us so we encouraged you to leave a message, or send a text, or email and we will respond as soon as we are able. If you need to change or cancel appointments, conditions apply (please see cancellation/lateness policy*). We will also accept notification via a Facebook message on our Business Page jw.hypnotherapyessex. Again, conditions apply*.

Referral: On rare occasions initial work may highlight the need for recommendation or referral to an alternative hypnotherapist or counselling/psychotherapy practitioner for some form of specialist therapy that Hypnotherapy-Essex Ltd may not be able to provide. If this occurs your options will be explained to you fully.

Guidelines are devised for the sole benefit of the client (you), and will enhance the therapeutic process, sessions and subsequent services provided by your Certified Hypnotherapist, Jane Williams, and Hypnotherapy-Essex Ltd.
